Privacy Notice – Invest in Kokemäki

This privacy notice describes how the City of Kokemäki processes personal data in connection with its Invest in Kokemäki services. The City of Kokemäki complies with the EU General Data Protection Regulation (GDPR) and national data protection legislation.

3. Purpose of Processing

Personal data is processed to provide investment promotion and business development services, including:

  • responding to contact requests submitted via the Invest in Kokemäki pages
  • providing information to companies and investors interested in operating in Kokemäki
  • coordinating advisory services, meetings and site or property information
  • developing the city’s business environment and investment-related services
  • cooperation with regional business development organisations

Personal data is used only for purposes that have been clearly defined and communicated in accordance with GDPR.

4. Legal Basis for Processing

The processing of personal data is based on:

  • public interest and the exercise of official authority (GDPR Article 6.1(e)) related to municipal economic development tasks
  • legal obligations of the City of Kokemäki
  • consent (GDPR Article 6.1(a)) when a person voluntarily submits a contact request or asks for further information

5. Categories of Personal Data

The following categories of data may be processed:

  • name, organisation and position
  • phone number, email address and other contact details
  • information provided voluntarily in contact requests or discussions
  • company information related to investment or business plans
  • meeting notes or service documentation created during advisory work

Only information necessary for the service will be collected.

6. Regular Sources of Data

Personal data is primarily obtained directly from the data subject:

  • contact forms
  • email correspondence
  • meetings and advisory discussions

Additionally, information relevant to investment promotion may be obtained from publicly available business registers or from cooperation partners.

7. Recipients of Data and Cooperation with Prizztech

The City of Kokemäki cooperates with Prizztech Oy, a regional development company, in providing investment promotion and business advisory services.

To deliver these services:

  • Prizztech may act as a data processor on behalf of the City of Kokemäki, or
  • in some cases as an independent controller when providing its own statutory or project-based business services.

Personal data may be shared with Prizztech only when necessary for handling the service request.
All processing is carried out in accordance with data protection legislation and contractual obligations.

Personal data is not shared with third parties for marketing purposes.

8. Transfer of Data Outside the EU / EEA and Use of Analytics Tools

The Invest in Kokemäki website uses third‑party analytics and marketing tools that may transfer limited technical data (such as IP addresses or device identifiers) outside the EU/EEA in accordance with each provider’s data protection safeguards. These tools include:

  • Google Analytics 4 (GA4): page traffic, form submissions, email and phone link clicks
  • Google Tag Manager: implementation of tracking scripts
  • Conversion tracking for LinkedIn advertising and account-based marketing campaigns

These service providers may process data on servers located outside the EU/EEA. Transfers are based on appropriate safeguards required by GDPR, such as the EU’s Standard Contractual Clauses.

The data collected is technical usage data and does not include content of messages submitted via contact forms.

9. Data Retention

Personal data is retained only for as long as necessary for:

  • managing the advisory service or investment-related process
  • fulfilling the City of Kokemäki’s statutory obligations
  • complying with public authority archiving rules

Retention periods follow applicable municipal and national regulations.

The City of Kokemäki protects personal data using appropriate technical and organisational measures, including:

  • access control and user permissions
  • secure IT systems
  • encryption and network security
